Create, manage, and optimize your email outreach campaigns with multi-step sequences and advanced targeting.
What is a Campaign?
A campaign is an automated email outreach sequence that sends personalized emails to your leads over time. Each campaign can have multiple email steps with custom delays, allowing you to nurture leads with follow-ups automatically.
Creating a Campaign
Step 1: Campaign Basics
- Name: Give your campaign a descriptive name (e.g., "Q1 SaaS Outreach")
- Description: Add context about the campaign's purpose and target audience
- Status: Starts as "Draft" until you're ready to launch
Step 2: Configure Campaign Rules
- Daily Send Limit: Maximum emails to send per day (helps with deliverability)
- Max Emails Per Lead: Total emails each lead receives in the sequence
- Stop on Reply: Automatically pause sequence when lead replies (recommended)
Step 3: Build Email Sequence
Create your email sequence with multiple steps. Each step includes:
- Email Content: Subject line and email body (supports personalization)
- Delay: Days to wait before sending this email (after previous step)
- Order: Sequence position (can be reordered via drag-and-drop)
Step 4: Select Email Accounts
Choose which connected email accounts to use for sending. Emails are distributed across selected accounts to spread volume and improve deliverability.
Step 5: Add Leads
Add leads to your campaign by:
- Bulk Category Add: Add all leads from a specific category
- Individual Add: Select specific leads one by one
Campaign Status
Draft
Campaign is being set up. No emails are sent. You can edit all settings.
Active
Campaign is running and sending emails according to schedule and rules.
Paused
Temporarily stopped. Can be resumed to continue where it left off.
Stopped
Permanently stopped. Cannot be restarted. Create a new campaign instead.
Completed
All leads have received all emails or the campaign naturally concluded.
Lead Status in Campaigns
Each lead in a campaign has a status showing their progress:
Lead hasn't been sent any emails yet
Lead is in the sequence (shows current step / total steps)
All emails in sequence have been sent
Lead responded to one of your emails
Email address is invalid or unreachable
Lead opted out of your emails
Lead manually marked as do not contact
Campaign Analytics
View detailed performance metrics for each campaign:
- Total Leads: Number of leads in the campaign
- Emails Sent: Total emails sent so far
- Delivered: Successfully delivered emails
- Bounced: Failed delivery attempts
- Open Rate: Percentage of emails opened by recipients
- Click Rate: Percentage of emails with link clicks
- Reply Rate: Percentage of emails that received replies
- Bounce Rate: Percentage of emails that bounced
Click on a campaign to view lead-level analytics showing individual email activity.
Starting a Campaign
Pre-Launch Validation
Before starting, CuppaSend validates your campaign has:
- At least one lead added
- At least one email in the sequence
- At least one connected email account selected
- Valid campaign configuration (daily limits, etc.)
Once validation passes, click "Start Campaign" to begin sending. The campaign will send emails according to your schedule and daily limits.
Managing Active Campaigns
Pause Campaign
Temporarily stop sending. No emails will be sent while paused. Resume anytime to continue where you left off. Useful for holidays, testing, or temporary holds.
Stop Campaign
Permanently stop the campaign. Cannot be restarted. Use when you want to completely end a campaign. Analytics and history are preserved.
Delete Campaign
Remove the campaign entirely including all history and analytics. This action cannot be undone. Only available for Draft, Stopped, or Completed campaigns.
Email Personalization
Use merge tags in your email content to personalize messages:
Hi {{firstName}},
I noticed {{company}} is doing great work...
Variables are automatically replaced with lead data when emails are sent. Available variables depend on your lead fields (firstName, lastName, company, email, and custom variables).
Best Practices
✓ Keep daily limits reasonable
Start with 50-100 emails per day for new accounts. Gradually increase as your sender reputation builds.
✓ Enable "Stop on Reply"
Prevents sending additional follow-ups to leads who already responded. Improves user experience and prevents spam complaints.
✓ Test your sequences
Send test emails to yourself before launching. Check formatting, links, and personalization.
✓ Monitor bounce rates
High bounce rates (>5%) hurt deliverability. Clean your lead lists regularly and remove invalid addresses.
✓ Use 2-4 email steps
Most successful campaigns have 3 emails: initial outreach, follow-up, final check-in. More than 5 emails may be perceived as spam.
Pro Tip
Create separate campaigns for different audience segments. This allows you to tailor messaging and track performance by segment. You can use lead categories to organize segments.
